Executive Secretary, Government Affairs (Ottawa Office)
*** Temporary replacement – for approximately one year (maternity leave) ***
Under the authority of the Vice President, Government Affairs, the main responsibilities of the Executive Secretary, Government Affairs are:
Summary of Activities
- Coordinate the agenda of the Vice President, manage appointments and follow up on various requests;
- Ensure the maintenance and updating of expenses and other files, such as attendance reports for office staff;
- Manage the travel booking file for the Vice President;
- Manage the purchase and maintenance of office equipment and computers;
- Responsible for purchasing office supplies;
- Ensure management of telephony services (voice mail, cellular, etc.);
- Manage mail, conference room and catering services, if needed;
- Prepare correspondence, communications materials, translate and revise documents as required;
- Assist the Vice President in preparing and managing the budget, in collaboration with the Corporate Office in Montréal;
- Make the link with the Office of Federal Ministers, MPs, senior officials, embassies and political institutions;
- Coordinate meetings in Ottawa for senior executives from Corporate Office and the operational groups,
- Organize visits of foreign delegations;
- Provide administrative support to senior executives visiting Ottawa.
Professional Qualifications
- College degree in office administration with a minimum of five (5) years experience or other training and experience deemed equivalent;
- Excellent command of French and English, spoken and written;
- Thorough knowledge of Word, Excel, PowerPoint and Lotus Notes.
